A wooden craft RFQ should define the product’s use, dimensions, material, decoration, quantities by variant and final packing. Add box contents, tray loads or ornament display details as appropriate. Ask suppliers to identify exclusions and price alternatives separately so quotations share a comparable baseline.

Project: product being packed, target customer and sales channel. Box: external and required internal dimensions, lid or drawer style, material preference, finish and expected loaded weight. Interior: product dimensions, insert layout and lining. Branding: vector artwork, color requirements, mark location and size. Order: quantity by variant, expected repeat demand and target delivery region. Packing: individual retail pack, carton count, labels and any required transit test. Approval: requested sample, review deadline and who signs it off.

Attach a drawing or annotated reference image. Mark dimensions that cannot change. If you do not yet know the material or construction, say so explicitly and request an alternative proposal. Avoid a vague instruction such as “same as photo” when the photo does not show the inside or underside.

Ask every supplier to break out the same costs

Request unit price at the same quantity breaks, sample and setup charges, insert cost, individual packing, master cartons and shipping terms. Ask what is excluded. Clarify whether a logo or color change triggers an additional charge. A supplier may legitimately recommend a different material; ask for that as a clearly labeled alternative, not an unmarked substitution.

Review feasibility before choosing the lowest price

Does the quoted box fit the actual product? Are the finish and branding methods suitable for the material? Is there enough protection for shipment? Record open questions and update the RFQ revision before final approval. Keep the final version with the approved sample and purchase order.
